How to autofill Greenhouse job applications
Thousands of companies run their careers page on Greenhouse, so you will meet its form again and again: the same fields, the same resume upload, the same voluntary questions. Here is how to stop retyping it.
What a Greenhouse form asks
A Greenhouse application (the address is usually job-boards.greenhouse.io or boards.greenhouse.io, or the same form embedded in the company's own careers page) has a fixed shape:
- First name, last name, email, phone, location.
- Resume and, often, a cover letter: upload or paste.
- LinkedIn, website or portfolio links.
- The company's own questions: work authorization, sponsorship, salary expectation, how you heard about them, sometimes a short written answer.
- Voluntary self-identification: gender, race, veteran status, disability. These are optional and separate from the application.
Only the company's own questions change from one Greenhouse job to the next, and even those repeat: "Are you authorized to work in the US?" is on nearly every one.
What your browser can and cannot autofill
Chrome's own autofill handles name, email, phone and address, when it recognises the fields, which on Greenhouse it mostly does. It cannot attach a resume, answer a custom question, pick a dropdown value like "Yes, I am authorized", or remember that you applied. A password manager is the same: contact fields and nothing else.
The time goes into the rest: finding the right resume file, the LinkedIn link, the authorization and sponsorship answers, the salary line, the "how did you hear" dropdown, the free-text question you answered last week for another company and cannot find.
Filling a Greenhouse form with JobFlo
JobFlo keeps one profile (your details, your resumes, your links, and every answer you have given before) and fills Greenhouse forms from it with its Chrome extension.
- Set up once. Sign up, fill in your profile, upload your resume, and save the answers every application asks for: authorization, sponsorship, salary, notice period, how you heard. Each saved answer has a Verified mark you set yourself.
- Open any Greenhouse job. On the application page a blue JobFlo button appears at the bottom right. It opens the JobFlo panel beside the form.
- Press Fill application. The form is filled: contact details, links, the resume attached (your default, or the one you pick), the questions it has answers for, including dropdowns. Greenhouse publishes each posting's question list, and JobFlo reads it for the job you are on, so every question is matched to the right answer rather than guessed from the field's label.
- Read the panel. It lists every question in groups: Filled, Needs you (questions JobFlo leaves to you, with the reason), Not in your profile (it knows the question, you have saved nothing for it) and Unrecognised fields. Required questions still empty are marked.
- Answer what is left, then press Greenhouse's own Submit button. JobFlo never submits for you. Once the confirmation page shows, JobFlo records the application as Applied on your dashboard, with the answers that were given and the resume used.
Next time the form asks a question you typed by hand, JobFlo offers to save that answer, so the second Greenhouse application has fewer gaps than the first, and the tenth has almost none.
What it never fills
- It never submits. You press the button, every time.
- It never guesses. An unclear question is left empty and listed for you.
- Sensitive questions need an answer you verified. Work authorization, sponsorship, pay, background checks, and the voluntary questions about gender, race, veteran status or disability are filled only from answers you saved and marked Verified. Nothing is assumed.
- Some things it never touches. Passwords, one-time codes, payment details, government ID numbers.
The same extension runs on the application pages of Lever, Ashby, Workable, Workday, SmartRecruiters, iCIMS and other hiring systems, and on any other careers page when you click Activate on this page: see the guide to the extension.
Questions
Does Greenhouse allow autofill?
Yes. Greenhouse forms are ordinary web forms, and autofill, whether Chrome's or an extension's, only types into them the way you would. What you submit is still your application; read it before you press Submit.
Can JobFlo fill the voluntary self-identification questions?
Only from answers you saved and marked Verified. If you have not, they are left for you, and leaving them blank is always allowed; they are optional by design.
What about Greenhouse forms embedded in a company's own site?
The form is still Greenhouse's, loaded inside the company page, and the extension finds it there. If a careers page is built differently, Activate on this page from the JobFlo icon in Chrome's toolbar turns the extension on for that page.
Does it work on a phone?
No. The extension is for Chrome, Edge and Firefox on a computer. The job board and the tracking work anywhere.
